Here at BIG Property we often meet people who are looking to rent a home for the first time, and we understand it can seem quite daunting. For those who rent regularly, there is often a very different rental procedure depending on the agent or private landlord you use.
Below we have broken our whole process down, step by step, to help you understand just how simple it is with BIG Property, and what to expect when renting through us.

1. REGISTER WITH US
We want to find out exactly what you are looking for, so that we can match you with the perfect property or make other suggestions based on your criteria. What we will need to know:
What's your Budget?
How many bedrooms do you need?
Are you looking for furnished or unfurnished?
Do you need to be in a specific area?
Do you have any special requests? (For example, it may be essential for you to be on the ground floor, or that you need a parking space/garage).
What time frame are you working to?
Do you have children?
Do you have pets?
Remember that although it seems like a lot of information, we only ask all of this so that we can create better matches for you and find you the perfect property quicker. Once we have your contact details we will be able to stay in touch when new properties come on the market that could work for you.
2. BOOK A VIEWING
Once out viewing you may notice things that you hadn't thought of initially, that consequently become an important factor, and those higher priorities may become negotiable. Our team pride themselves on stock knowledge, so trust them when they make recommendations! When renting in this area, properties tend to come and go very quickly due to Landlords not wanting a vacant property for too long – so bear this in mind when making plans to rent.
3. MAKE AN OFFER
Once you've found the property you would like to rent call us on 01202 070 007 or email us with your offer. At this point we will need some basic information such as your full name, contact information, and employment details for all the Tenants planning on living in the house or flat, so please have this ready for when you talk to the team. You will also need to let us know how long you are planning on renting for, when you are planning to move in and if there are any requests you are making as part of your offer. Please note you will need to let us know about children and if you have any pets, so we can let the Landlord know.
Once we have this information we will confirm the offer in an email to you, alongside the money associated with Letting the property.
Once you have read the email and confirmed you are happy, the offer will then be put forward to the Landlord at the earliest possible opportunity and we will call you as soon as we hear back. Try not to worry if you miss out – we have plenty of new properties being marketed with us every week, and we will do everything in our power to find you an alternative.
4. HOLDING DEPOSIT
If your Offer is accepted by the Landlord, we will confirm this in an email and ask you to complete our online application rent form. We will also require you to pay a holding deposit. This cost is to hold the property for you, and to take the property off the market. Don't worry – this isn't an extra cost, it will be deducted from future monies due (the amount will have been confirmed in the first email confirming the offer). In line with the Right to Rent Act, we will also require you to scan or take a photo of your passport and email this to us. If you do not have a passport, please speak to your point of contact in the BIG Property office who will advise you of other options.
We use an external referencing company who will check certain things such as income details, employment details and previous Landlord references if applicable. An email will be sent to you to fill out their online form. All applicants aged over 18yrs who are renting will need to go through referencing, along with any guarantors. The quicker you can fill out and submit the form, the quicker we can start the process. If you need help filling out your forms one of the team will be happy to help.
6. TENANCY AGREEMENT
Once the referencing comes back, providing everything is okay, we will send you over the Tenancy Agreement. A copy of this is sent to all parties involved including yourself and the Landlord. We ask that you take some time to go over this document before signing, as it is legally binding. Again, if you have any questions one of the team will be happy to help.
7. INITIAL MONIES
Initial monies are highlighted in the Confirmation of Offer email and the Tenant invoice that came alongside your tenancy agreement. Usually, we require the initial monies to be paid 48hrs before move in date. These include one month's rent in advance, security deposit and other admin costs (remember the holding fee you have paid will automatically be deducted from the total cost).
8. MOVE IN
We will arrange a time and date for you to meet at the property to handover the keys. We will ask that you take the Inventory which has been prepared and check the property is as the report reads, and then ask that you sign the report and return it to us within 7 working days. You will also be given your BIG Property Move in pack, with a copy of the tenancy agreement you and the Landlord have signed, Gas safety certificate (if there is gas in the property) EPC, and any other useful information that is provided by the Landlord.
9. REPORTING MAINTENANCE AFTER YOU MOVE IN
You Landlord will have chosen one of two options when instructing BIG Property to rent the property, either Tenant Find or Fully Managed. You will be advised in your Move in pack as to which service the Landlord is using.
If the property is Tenant Find you will find details of the Landlord or his representative to report the maintenance directly to them.
If the property is Fully managed by BIG Property, we will be your point of contact. BIG Property has a 24/7 contact number 01202 070 007 to report your maintenance to, or you can email us at firstname.lastname@example.org.
